Who runs this
VGX Openings is the booking site at meet.vgx.digital. It is run by VGX Global Consulting Private Limited. It lets people book a meeting with the owner.
What you give us when you book
When you book, you give us your name, your email address and the time you picked. Some booking pages also ask for a phone number, the email addresses of other guests, or answers to a few questions such as what you would like to talk about. We also note your timezone so times are shown correctly.
We use this only to arrange the meeting: to check the time is free, to put the meeting in the owner's calendar with you as a guest, and to email you about it (request received, confirmed, declined or cancelled). Each email to you has a private link you can use to cancel.
Some booking pages ask you to confirm your email address first. We then email you a 6 digit code. We keep only a scrambled (hashed) form of your email address and of the code, for at most two hours.
When you send a booking request, we store your IP address and your browser details (the user agent, which names your browser and its version) with the booking. We use them only to spot and block abuse, such as fake or repeated requests, and only the owner sees them. Your IP address is also used for a short time, in memory, to limit repeated requests. Public pages set no cookies and load nothing from other sites.
Calendar access
Only the owner connects calendars: their own Google, Microsoft and iCloud accounts. You never connect yours.
The app reads the list of calendars in each connected account and works out when the owner is busy, so it can show open times. Where it can, it asks only for free and busy times. Where it needs more detail, it looks at the start and end time of events, whether they are all day, and whether they count as busy (for example, not cancelled or declined). Event titles, descriptions, locations and attendees are not stored. Busy times are kept in memory for about a minute and then dropped.
On the one calendar the owner picks as the host calendar, the app also creates, updates and deletes the meeting events it booked itself: a hold while a request waits for approval, then the confirmed meeting. It does not change or delete any other event.
For each connected account the app stores the account email, the names of its calendars and the sign-in tokens (for iCloud, an app-specific password). Tokens and passwords are encrypted at rest. When the owner disconnects an account, these are deleted.
VGX Openings' use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Who sees your data
We do not sell your data or share it with anyone for their own use. It is not used for advertising and it is not used to train AI models. It goes only where it must for the meeting to happen: to the owner's calendar provider, which sends you the invite, and to our email provider, which delivers the booking emails.
How long we keep it
Your name, email address, phone number, other guests, answers, comment, IP address and browser details are deleted automatically 365 days after the meeting time. We keep only the meeting time, its status and which booking page it came from, so we can count meetings.
The meeting in the owner's calendar and the booking emails are kept by the owner like any other meeting. You can ask us to delete your booking details sooner at any time.
